Terms and Conditions
Registration, Ticket and Cancellation Policy
- The registration cost mentioned is for a single entry to the conference.
- The registration fee is non-refundable except in the case of point (4) below.
- Only 2 participants can register from an organization, whether an NGO, a corporate, a college, or a foundation.
- If more than 2 participants from the same organization register, the extra ticket(s) will be canceled, and the amount will be refunded.
- Nobody will be allowed admission to the conference without a valid ticket or pass.
Substitution Policy
- Registered participants may request to substitute another person from the same organization to attend the conference in their place under exceptional circumstances.
- Requests for substitution must be made in writing and communicated to the organizers at least seven days before the event start date.
- Transfer of tickets across organizations is not permitted.
Inclusion
- The ticket includes participation in all VolCon activities/sessions and lunch for both days (29th February and 1st March 2024)
- The ticket does not include accommodation, travel, breakfast, and dinner for both days.
Note: Participants are responsible for arranging their travel, accommodation and meals outside the conference schedule.
Changes to the conference
- The organizers reserve the right to change the conference program, schedule, speakers, or venue if necessary. Any significant changes will be communicated to registered participants in advance.
Liability
- The Organiser shall not be held liable for any loss or damage to personal property brought to the conference.
- Participants are responsible for their personal belongings
Audio / Visual Consent
- By participating in the conference, all attendees grant the organizers the right to capture photographs, audio recordings, and video footage during the event.
- The organizers may use these materials for promotional and marketing purposes without compensating the attendees.
Code of Conduct
- Participants must adhere to the conference’s code of conduct, promoting respectful and inclusive behavior towards all attendees and speakers.
Special Assistance Requirements
- Participants with special assistance requirements, such as accessibility or dietary restrictions, are encouraged to inform the organizers during registration or at least 15 days before the event.
- The organizers will do their best to accommodate these requests, subject to the limitations and capabilities of the venue.
International Participants
- The registration rates for international participants are the same as for domestic participants.
- International participants are responsible for obtaining the necessary visa to attend the conference.
- If an international participant’s visa application is declined, we will initiate a refund for their conference registration fees if the participant provides us with a formal letter of visa rejection.
- The visa rejection refund policy applies solely to visa denials and does not cover other circumstances, including but not limited to changes in personal plans and travel restrictions.
Amendments
- The organizers reserve the right to amend or update these terms and conditions at any time. Any changes will be posted on the conference website and emailed to registered participants.
